Solergy Solutions (“we”, “us”, “our”) is a solar PV and electrical wholesaler based in Moreleta Park, Pretoria, South Africa. We are committed to protecting the personal information of our trade customers and website visitors in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA).
This policy explains what information we collect, why we collect it, how we protect it, and the rights you have over it.
1. Information we collect
Trade account information. When you apply for a trade account we collect your name and surname, company name, company/VAT registration number, business type, email address, phone number, and physical/billing address.
Order and transaction information. Details of the products you order, delivery addresses, order history, invoices and payment references. We do not store credit card details — payments are processed by our payment providers or via direct bank transfer.
Technical information. When you use the portal we collect standard technical data such as IP address, browser type, and cookies required for the operation of the store (login sessions, shopping cart). See section 6 for cookies.
Communications. Records of correspondence with us, including emails to our orders and support addresses.
2. Why we collect it
We process your information to: assess and approve trade account applications; provide access to trade pricing linked to your account; process, deliver and invoice orders (including VAT-compliant tax invoices); communicate with you about orders, deliveries and your account; comply with legal obligations (including tax and accounting laws); and, only where you have opted in, send you product and pricing updates.
3. Who we share it with
We only share personal information with service providers who need it to perform functions on our behalf: couriers and delivery services (name, address, phone number for deliveries), our transactional email service (order and account notifications), our accounting systems and auditors, and our website hosting provider. We do not sell or rent personal information to anyone. Where a service provider processes information on our behalf, they do so under obligations of confidentiality and security.
We may disclose information where required by law, regulation or court order.
4. How long we keep it
We keep account information for as long as your trade account is active. Transaction records (orders, invoices) are retained for a minimum of five years as required by South African tax legislation. If you close your account, we will delete or de-identify information that we are not legally required to retain.
5. How we protect it
The portal is protected by SSL encryption, security monitoring, and access controls. Administrative access is restricted and protected with two-factor authentication. While no system can be guaranteed absolutely secure, we take reasonable technical and organisational measures as required by POPIA.
6. Cookies
The portal uses cookies that are necessary for its operation: session cookies to keep you logged in and to maintain your shopping cart, and security cookies. If we introduce analytics cookies, this policy will be updated. You can control cookies through your browser settings, though disabling essential cookies will prevent the store from functioning.
7. Your rights
Under POPIA you have the right to: request access to the personal information we hold about you; request correction of inaccurate information; request deletion of information we are not legally required to keep; and object to processing for direct marketing.
